AI Automation

Turn incoming leads into booked conversations — automatically

AI can respond to a new enquiry immediately, start the first conversation, ask the right questions, qualify the lead, guide them towards the next step and pass structured information to your team.

We start by understanding how your business currently handles leads. Only then do we decide what is genuinely worth automating.

Where Leads Get Lost

The lead has arrived. But they are not a customer yet.

The problem is not always the number of leads. Sometimes the real problem is what happens after the enquiry arrives.
01

A customer submits an enquiry

The advertising and website have already done their job.

02

There is no fast response

The team is busy, the working day has ended or the enquiry is simply missed.

03

The customer keeps searching

They contact another business that responds faster.

04

The lead is lost

The business paid for the customer's attention, but never moved the opportunity to the next step.

After-hours enquiries

Missed enquiries
Messages left unanswered
No follow-up
Lead not added to CRM
No lead should be left without a response. This is where AI automation can become part of the sales process.
How It Works

AI does more than answer questions. It helps the enquiry move forward.

The system connects the customer's first enquiry with a clear next action — qualification, booking, CRM or handover to the team.

AI + Process

AI Lead Handling System

Holds a conversation, understands the enquiry, qualifies the lead and triggers the right next step.

What Can Be Automated

Not the entire process. Only the parts where automation genuinely supports sales.

AI automation should not make your team's work more complicated. Its role is to remove repetitive tasks, reduce response time and help potential customers reach the next step faster.

01 Response

Immediate Response

AI can respond to a new enquiry immediately — even when your team is busy or the enquiry arrives outside working hours.

03 Booking

Customer Booking

A potential customer can move directly from the first enquiry to a consultation, call, site visit or meeting without unnecessary waiting.

04 CRM

CRM Integration

Contact details, lead source, responses and enquiry status can be created or updated automatically in the CRM.

06 Handover

Lead Handover

A qualified enquiry is passed to the right person, manager or team together with the context already collected.

Automation does not mean AI should do everything. At the right moment, the system hands the conversation to a person together with the context it has already collected.
Example Scenario

One lead. From the first click to a sales-ready opportunity.

Below is an example of how the system could work for a local service business. This is not a client case study or a claimed result — it is an example of the process logic.

Example Process

New Lead
01
A potential customer arrives through Google Ads They visit the landing page and submit an enquiry.
02
AI responds immediately It does not wait until the next working day to begin the first conversation.
03
It collects the key information Service required, problem, location, timing or other questions relevant to the business.
04
The enquiry is qualified The system determines whether the lead meets the required criteria and what the appropriate next step should be.
05
An available time is offered The potential customer can book a call, consultation, site visit or meeting.
06
Information is sent to the CRM Contact details, answers, lead source and status are added to the sales system.

AI in the Growth System

AI automation starts after the lead already exists.

AI does not replace the entire customer journey. A business first needs demand, a clear offer and a point of conversion. AI becomes relevant when the next challenge is handling the enquiry quickly and consistently.

Does AI Automation Make Sense?

The strongest case is where every lost lead has real value.

AI should not be introduced simply because a business wants to “use AI”. It makes sense when it solves a specific problem — slow response, manual qualification, missed enquiries or inconsistent follow-up.

AI May Make Sense

When the business already generates leads

But the process after the first enquiry is slow, inconsistent or too dependent on manual work.

There is a consistent flow of enquiries.
Response speed affects sales.
Some leads arrive outside working hours.
The team repeatedly asks the same initial questions.
Follow-up is inconsistent.
AI Is Not the First Step

When the weak point appears earlier

Automation will not fix the system if the business first needs to improve lead generation or establish a basic sales process.

There are very few new enquiries.
It is unclear where leads come from.
There is no clear sales process.
The main problem is the website or traffic.
A simpler CRM automation could solve the problem.
We start by finding the weak link.

We do not start by selling AI. First, we look at what currently happens to your leads and where the business is losing opportunities.

How Implementation Works

Process first. Automation second.

We do not start with the question, “Which AI should we install?” First, we need to understand where leads come from, what happens after the enquiry and where the actual problem occurs.
01

Discovery

We review where enquiries come from and what currently happens after they arrive.

02

Design the Process

We define what AI should ask, how leads should be qualified and when the conversation should be handed to a person.

03

Implementation

We connect AI, the relevant communication channels, CRM, booking and the required automation.

04

Testing

We test different enquiry scenarios, qualification and the handover to your team.

05

Improvement

We analyse real conversations, the process and the metrics that influence sales.

What We Measure After Launch

The goal is not simply to “have AI”. We need to see whether the system genuinely helps the business handle leads faster and more effectively.

01 Response Time

How quickly the business starts working with a new enquiry.

02 Contact Rate

How many new leads actually enter a conversation.

03 Qualified Leads

How many enquiries meet the criteria defined by the business.

04 Bookings

How many qualified leads move to a clear next step.

The First 30 Days After Launch

An AI system needs to be tested against real conversations and real customer behaviour. During the first 30 days, we review actual interactions, refine the logic, prompts and scenarios, check lead handovers and resolve issues that only become visible once the system is live.

Ongoing support and development begin after this initial period.

AI usage and third-party services are billed separately. OpenAI / Anthropic API usage, telephony, WhatsApp / SMS, hosting, Make, n8n and other paid platforms are not included in the implementation fee. The final project price is confirmed after reviewing the process, scenarios, channels and integrations required.
FAQ

Questions About AI Automation

Clear answers on how the system can work, where human involvement is still needed and when automation genuinely makes sense.

Does AI replace the sales team?
No. The purpose of AI is to handle part of the repetitive work, respond quickly, collect the right context and hand the enquiry to a person at the appropriate moment.
Can the system operate 24/7?
Yes. The automated first response can operate outside normal working hours. The exact workflow depends on your business process and the rules we define for handing enquiries over to your team.
Can we use WhatsApp?
Yes, where the required integration is available and appropriate for the process. WhatsApp or another messaging channel can form part of the lead-handling system. The exact setup is defined during system design.
Can AI book customers automatically?
Yes, when booking is the logical next step. The system can collect the necessary information, qualify the enquiry and guide the potential customer towards an available appointment, call or consultation.
Can AI integrate with our CRM?
Yes. Contact details, answers, lead source, status and other relevant information can be passed into the CRM depending on the process and integrations we build.
What happens if AI does not know the answer?
The system should include clear handover rules. When AI cannot safely or appropriately continue, the conversation is passed to a person instead of forcing the automated scenario forward.
Do we need to have a CRM already?
Not necessarily. We first need to understand the current process. In some businesses the CRM already exists, in others it needs to be introduced, and sometimes a simpler structure is enough.
How long does implementation take?
It depends on the number of channels, workflow complexity, integrations and CRM requirements. The implementation timeline is defined after reviewing the specific process.
Is AI automation right for our business?
That needs to be determined after reviewing the system. If the main problem is traffic, the website or the basic sales process, AI may not be the right first step.
How much does AI automation cost?
A focused AI implementation starts from €1,100. More advanced systems start from €2,200, while complex multi-scenario and integrated solutions start from €4,000. The final price depends on the process, channels, integrations and level of automation required. The first 30 days after launch are included in the implementation.
The Principle

AI automation makes sense when it solves a specific weakness in the process.

If your business already generates enquiries but opportunities are being lost because of slow response, manual qualification, inconsistent follow-up or pressure on the team, automation can strengthen that specific stage of the system.

Next Step First, we determine whether AI is actually the right next move.

If it is, we define the right level of scenarios, integrations and automation without introducing unnecessary complexity.
